Scheduling Candidate Interviews

You can schedule interviews with candidates right inside Breezy. Find out how to create and reschedule interviews.

When you’re ready to set up an interview with a candidate, you can create meetings and send invites from the candidate’s profile. You can add other Hiring Team members and video options, and include interview guides and scorecards.

Hiring Manager access is required to schedule interviews.

How to schedule a candidate interview

To schedule an interview with a candidate:

  1. Locate the candidate with a search or from a position or pool.

  2. Open the candidate’s profile.

  3. Click the calendar icon 🗓 in the upper-right corner of the window.

  4. Choose a date, time, and duration for the meeting.

  5. Add members of the Hiring Team that you’d like to include (you can check their availability first).

  6. Choose a meeting organizer from the dropdown, if you like.

  7. Add a title, location, and description for the meeting, if you like.

  8. Select an interview guide, if you’d like to include one for team members.

  9. Select a video interview option, if you like.

  10. Choose whether you’d like team members to complete a scorecard after the interview.

  11. Click Continue.

  12. Confirm or change the email message that will be sent to the candidate.

  13. Click Send Invite.

Note: A candidate’s email address is required for scheduling interviews.

Schedule a candidate interview

💡 Tip: Streamline your schedule — assign a Meeting Organizer!

If you’re scheduling interviews for other members of the hiring team, you can assign someone else to be the meeting organizer. That way, it won’t show up on your calendar if you’re not part of the meeting.


How to schedule multiple interviews

You can schedule multiple interviews for the same day, all at once. You can customize the times and details for each meeting, and the candidate will receive a single email with the information for all the interviews.

The option to schedule multiple interviews at once is available to customers on Business and Pro plans.

To schedule multiple interviews:

  1. Create the first interview.

  2. Click + Add Interview under the interview details.

  3. Add the time, interviewers, and other details for another interview.

  4. Click Continue.

  5. Confirm or change the message that will be sent to the candidate.

  6. Click Send Invite.


💡 Tip: Save time with templates

Use the Save as Template button in the lower-left corner so you can use the same details later. Available templates will appear in a dropdown menu in the upper-right corner of the scheduling window.


How to check interviewer availability

You can check team members’ calendars when you schedule an interview, to choose a time that works for everyone. Just click Availability next to Interviewers to open their Breezy calendar.

If your interviewers have their Google or Outlook calendars integrated with Breezy, information from that calendar will be displayed as well.


How to reschedule an interview

If you need to reschedule an interview, you can make changes from the candidate’s profile.

To reschedule an interview:

  1. Locate the candidate with a search or from a position or pool.

  2. Open the candidate’s profile.

  3. Click Reschedule in the banner at the top of the window.

  4. Make changes as needed and click Cancel Meeting or Update Meeting.

The candidate and interviewers will receive an email notification about the scheduling change.

Note: Meetings created with a scheduling link can’t be rescheduled. In order to schedule a new time, first cancel the meeting and then resend a link or schedule the interview manually.


How to see all interviews for a position

You can see a calendar view of all the interviews scheduled for a position.

To open the interview calendar:

  1. Click Positions/Pools in the left sidebar.

  2. Open the correct position.

  3. Click Calendar near the top of the window.

You’ll see an overview of all scheduled interviews. Click on any interview to see or edit its details.
